Settings Configuration Manager Answering Machine
Proceed as follows:
Using the Configuration Manager (page Settings > COMfortel > Answering machine)
Answering machine app
  Automatic playback
 New messages will be played back automatically after opening the answering machine list.
 
  Call information
 Date and time are played bacl before the message.
 
  Separator tone
 A separator tone is played back between messages.
 
Answering machine
  TAM readiness
 Calls will be accepted according to the configured call acceptance.
 
Listening-in 
No listen-in: Switches listening-in off.
Listen-in with announcement: Switches listening-in on. The telephone's loudspeaker is already switched on when the announcement is played.
Listen-in without announcement: Switches listening-in on. The telephone's loudspeaker is disabled when the announcement is played.
 
  Automatic call recording
Notes:
Before you record a call you must always have the agreement of the call partner. If you record the call without the knowledge of the call partner, you make yourself liable to prosecution (breach of confidentiality of the spoken word). For data protection reasons, the call partner should be informed via an announcement that the call is being recorded.
Recordings whose recording time is shorter than 1 second are not saved.
Automatic call recording ends immediately when a query call has begun.
 
 Every call will be recorded automatically.
 Call recording must be started manually.
 
  Announcement prior to call recording
Note: Before you record a call you must always have the agreement of the call partner. If you record the call without the knowledge of the call partner, you make yourself liable to prosecution (breach of confidentiality of the spoken word).
 The selected announcement will be played back prior to call recording.
 
Announcement 
Select the announcement prior to call recording from the previously configured announcements.
 
Remote access  
Remote access is used to access and operate the answering machine from another internal telephone or from an external telephone.
 With the konwlegde of the PIN which was configured for this, a remote access can be performed from a distant telephone.
 
Controlling the remote access  (only COMfortel 3600 IP)
Note: Remote access via voice control is only possible in German.
Voice control and DTMF codes: Remote access will be performed via voice control and DTMF codes.
only DTMF codes: Remote access will be performed via DTMF codes.
 
Remote access PIN 
Requirements:
Important: When operating as a system telephone on the PBX, the PBX specifies the remote access PIN. The remote access PIN matches the user PIN entered on the PBX.
Freely selectable 6 digit PIN. Allowed are digits (0-9) and special characters (*,#).
 
Quick remote access number 
The caller who transmits this quick remote access number when they make a call can, if quick access is configured, access all the recordings saved on the answering machine without having to enter their remote access PIN.

Important:
Enter phone numbers exactly as when dialling, for example, always enter external numbers with a leading exchange line access number. (Exception: selected account exchange line).
 
Enter up to two quick remote access numbers. The following setting must also be made:

Select the account.
 
Call acceptance
Call acceptance and the announcement assignment can be configured on a call-specific basis. The call acceptance rules determine which rules apply for which call type.
Call acceptance time (1...99 seconds) 
Indicates after how many seconds the answering machine accepts a call.
 
  Calls for group
 Calls for groups in which the telephone is a member, are also accepted.
 
Recording time (1...99 minutes, 99->unlimited) 
Note: Recordings whose recording time is shorter than 1 second are not saved.
Enter the maximum recording time. Provided that the caller does not hang up before, the answering machine will end the recording automatically after the entered time. If 99 has been entered, the recording time is unlimited.
 
Recording time for door calls (1...99 minutes) 
Note: The recording of the door call cannot actively be ended. Therefore, every recording lasts as long as it has been defined here.
Indicates after how many minutes the answering machine ends a recording by itself.
 
Call acceptance rules
The call type acceptance can be configured depending on the call type. The system distinguishes between the following call types:
1.
Anonymous calls: Does not transfer a phone number.
2.
From contact: Caller transmits a phone number that is present in the telephone book.
3.
External calls: Caller is an external subscriber.
4.
Internal calls: Caller is an internal subscriber.
5.
Door calls: Caller is any door terminal.
6.
The sequence displayed above corresponds to the sequence that is taken into account in the settings. Relevant call types, for which call acceptance has not been configured, are ignored when there is an incoming call. Instead, the system searches for the next applicable call type. If no setting has been made for any of the relevant call types, the settings for the call type Miscellaneous calls are used.

Call acceptance 
Announcement and recording: At the end, the caller hears the selected announcement and can then leave a message on the answering machine.
Announcement only: At the end, the caller hears the selected announcement; however, they cannot leave a message on the answering machine.
No call acceptance: The call from this caller is not accepted by the answering machine.. If remote access is enable, this option has no effect.

The following call types are generally not taken by the answering machine:
The answering machine cannot differentiate between scheduled calls, fallback subscribers, or unsuccessful attempts to connect calls, and normal internal calls, and so it takes all these calls.
 
E-mail notification
  E-mail notification
Requirements:
Note: In the Configuration Manager under Settings > COMfortel > E-Mail > Internationalisation, you can set the language of the e-mails and customise a user-defined linguistic template for e-mails to suit your requirements.
 The answering machine sends a notification to the e-mail address, that was configured in the telephone, when new message are present.
 
  Attach message as file
 New messages are attached to e-mail notifications in *.wav format and then sent.
 
  Mark message as read
 If the messages have been sent successfully, they will be marked as read.
Announcement
Language 
Note: Not available languages can also be uploaded in .fs format via the Configuration Manager.
Select the language in which the announcement is to be played.
Note: The phone language can also be provisioned (see www.auerswald.de/service under Developer).
 
Importing language file from data storage device (PC)

Mark the announcement > Configure. Enter the name in the entry filed.
