Opening the Message List of a Voice Mail/Fax Box
Open the message list of a voice mail/fax box to query, replay, delete, move messages into an archive or send a telefax as e-mail. If a subscriber is authorised to query several voice mail boxes, the list VMB used will be displayed in addition to the list voice mailbox. The list voice mailbox also contains the fax boxes.
The LED of the message key indicates whether entries are present on the message list.
Proceed as follows:

Using the telephone
Requirements:

Voice mail/fax box which is configured in the PBX and assigned to the telephone
 
To open the message list of a voice mail/fax box, press the function key configured for it or press the Menu key to open the menu Voice mailbox > functions > VMB open.
Alternatively, proceed as described below.
1.
Press the message key.
The available lists are displayed. To the left next to the selection of lists, the respective numbers of existing messages are displayed.

Select one of the following options:
•
VMB used (this is skipped if the other lists are empty)
•
voice mailbox > name of the voice mail/fax box
The following information about the message is shown on the display:
A
Caller
B
Internal call destination
Note: If the phone number has been assigned a name in the telephone book of the system telephone, this will be displayed.
C
Type of message:
 
new message
older message already played back
Note: The new messages are automatically replayed in sequence after the voice mailbox is opened. The latest message is replayed first.
D
Consecutive number of message/number of existing messages
Note: The latest message is displayed with consecutive number 1.

Date of message
F
Time of message
G
Entire length of the message
H
Length of time the message has been replayed
I
Caller
J
Internal call destination
Note: If the phone number has been assigned a name in the telephone book of the system telephone, this will be displayed.
K
Incoming/outgoing message

Consecutive number of message/number of existing messages
Note: The latest message is displayed with consecutive number 1.

Date of message

Select one of the following options:
 
Deletes the displayed message. If you press this key for a longer period of time, all messages from the message list will be deleted.
Voice mailbox only:
Starts the replay of the message.
Faxbox only:
Sends the telefax as e-mail to the address configured in the PBX as recipient of system e-mails.
Voice mailbox only:
Interrupts the replay of the message. If you press this key for a longer period of time, the system will go back to the start of the message.
Scrolls to next (older) message.
Scrolls to the previous (more recent) message.
Voice mailbox only:
Accepts the entry into dial preparation or into the telephone book, if applicable.
Faxbox only:
Sends the telefax as e-mail to the address entered in the PBX as recipient of messages when a new voice mail arrives.
4.
If you want to leave the menu, press the home key.
